TERMS OF SERVICE & REVISION POLICY

1. Scope of Services & Package Boundaries

Vantage Decks provides professional B2B presentation design, slide formatting, visual storytelling, and bid layout services for trade contractors, civil engineers, project managers, and commercial clients. Services are executed strictly under productised package limits or explicit custom quotes issued inside the Zendo portal: 

Express Polish ($299 NZD)

• Slide Cap: Up to 10 slides

• Turnaround: 24 Hours

• Included Revisions: 1 Round (Consolidated)

• Deliverables: Editable .pptx + Print PDF

Full Commercial Pitch ($699 NZD)

• Slide Cap: Up to 20 slides

• Turnaround: 48 Hours

• Included Revisions: 2 Rounds (Consolidated)

• Deliverables: Editable .pptx + Print PDF

Executive Bid Bundle ($1,299 NZD)

• Slide Cap: Up to 35 slides

• Turnaround: Priority 24 Hours

• Included Revisions: 2 Rounds (Consolidated)

• Deliverables: Editable .pptx + Print PDF

*Slide Count Exclusions: Slides exceeding package caps are charged at $35 NZD per additional slide unless upgraded to the next package tier prior to design commencement.

2. Project Commencement & Asset Requirements

1. Clock Activation: Production turnaround times (24 or 48 hours) commence only when all required project inputs have been submitted via the official Zendo intake form, including:

- Draft PowerPoint, Word, or PDF content files.

- High-resolution company logo files (.png, .svg, or vector).

- Brand guidelines (fonts, hex codes) or explicit visual style instructions.

2. Incomplete Submissions: If required brand assets, missing text sections, or access permissions are omitted during intake, the production timer is paused until full assets are received in the Zendo ticket thread.

3. Strict Revision Policy & Scope Definitions

To maintain rapid turnaround times and fixed pricing, revision rounds are subject to strict operational boundaries:

A. Definition of Included Revisions

Revisions cover refinement of existing content provided in the initial intake. Included items are:

- Adjusting layout hierarchy, font sizing, and alignment.

- Correcting text typos or minor copy edits.

- Swapping photos, icons, or background imagery.

- Adjusting colour palette execution to match brand rules.

B. Definition of Scope Changes (Out of Scope)

The following actions are classified as Scope Changes and are not covered by included revision rounds:

- Adding new slides not present in the original intake submission.

- Completely rewriting core copy or shifting presentation messaging after initial draft delivery.

- Requesting a complete redesign in a new visual direction after approving an initial style layout.

- Providing brand guidelines or logos after draft delivery that contradict initial instructions.

C. The Consolidated Feedback Rule

- Single-Thread Submission: A revision round consists of one single, consolidated feedback submission provided via the Zendo ticket thread (e.g., one complete list of bulleted edits or one marked-up PDF).

- Piecemeal Prohibition: Edits submitted across multiple separate chat messages, emails, phone calls, or voice notes will not be processed as a revision round. Production resumes only once a single, complete list of edits is submitted.

D. The 3-Business-Day Feedback Window

- Client feedback on delivered drafts must be submitted inside the Zendo ticket thread within 3 business days.

- If no feedback or extension request is received within 3 business days, the project is automatically deemed approved, completed, and closed. Subsequent revision requests will require a new order or paid revision request.

4. Out-of-Scope Pricing & Additional Charges

Any work requested beyond agreed package limits or included revision rounds will be quoted directly in the Zendo chat thread via an instant payment request:

- Additional Revision Round: $120 NZD per round (covering all slides) OR $35 NZD per individual slide.

- Structural Rewrites / Content Additions: Billed at $95 NZD per hour.

- Rush Fees: Requesting delivery inside 12 hours for custom orders incurs a 50% rush surcharge on total order value.

5. Confidentiality & Commercial Safeguards

1. Tender Confidentiality: Vantage Decks acknowledges that submitted draft materials may contain sensitive commercial tender data, pricing schedules, trade secrets, and proprietary project figures. All client materials are kept strictly confidential and accessed solely for presentation production.

2. Data Security: Client files are stored securely on private cloud infrastructure (Google Drive) and inside the encrypted Zendo portal. Files are never shared with third parties.

6. Intellectual Property & Portfolio Usage

1. Client Ownership: The Client retains full legal ownership and intellectual property rights to all raw copy, trademarks, logos, diagrams, and confidential materials supplied to Vantage Decks.

2. Final Deliverables: Upon full settlement of all account invoices via Stripe/Zendo, Vantage Decks transfers full commercial usage rights for final exported presentation files (.PPTX, PDF) to the Client.

3. Anonymised Portfolio Display: Vantage Decks reserves the right to showcase anonymised visual transformations (e.g., Before & After layout comparisons with client names, logos, and sensitive pricing redacted) in digital marketing and client case studies.

- Opt-Out Clause: Clients may request complete portfolio exclusion by notifying Vantage Decks in writing via email or Zendo chat prior to project commencement.

7. Payments, Fees & Cancellations

- Payment Terms: Services must be paid in full upfront via Stripe or credit card inside the Zendo storefront prior to design execution.

- Currency: All transaction values are processed in New Zealand Dollars (NZD).

- Refund Policy: Due to the immediate labor allocation required for rapid turnaround presentation design, no refunds will be issued once design work on the initial draft has commenced. If an order is cancelled prior to design commencement, a full refund minus Stripe processing fees will be issued.

8. Limitation of Liability & Commercial Disclaimer

1. Design Scope: Vantage Decks provides visual formatting, slide design, and presentation polish only. Vantage Decks does not write, verify, or warrant technical calculations, structural engineering data, legal compliance, or commercial figures contained in client decks.

2. Tender Outcomes: Vantage Decks is not responsible for the commercial outcome, win rate, or rejection of any tender, commercial bid, investment pitch, or sales presentation submitted by the Client.

3. Liability Cap: Vantage Decks’ total aggregate financial liability for any claim arising out of an order shall not exceed the total amount paid by the Client for that specific order.

9. Governing Law

These Terms of Service are governed by and construed in accordance with the laws of New Zealand. Any legal disputes shall be subject to the exclusive jurisdiction of the New Zealand courts.
